Administrative Assistant

We are seeking a detail-oriented and proactive Administrative Assistant/Receptionist to join our Albany, NY office.
Key Responsibilities:
- Provide administrative support to attorneys and staff, including document preparation, editing, and proofreading.
- Manage and organize files, correspondence, and records both physically and electronically.
- Answer and direct phone calls to appropriate employees, ensuring messages are relayed promptly.
- Welcome visitors and clients, maintaining a professional and courteous demeanor.
- Act as a point of contact for internal and external communications for the Albany office.
- Manage scheduling for conference rooms and conference call lines.
- Ensure the tidiness of offices, conference rooms, storage areas, and kitchen spaces.
- Receive, sort, and distribute mail, packages, and faxes.
- Prepare and process mail, handle FedEx packages, and other deliveries.
- Assist with scanning, faxing, and other document-handling tasks as needed.
- Oversee office and kitchen supply inventory and replenishment.
- Assist attorneys and support staff with time entry in the billing system.
- Perform other administrative tasks as needed to support the office.
- Collaborate with all staff, including the Lake Success office, to ensure smooth daily operations.
Knowledge, Skills & Attributes:
- 3+ years of administrative experience, preferably in a law firm or professional services environment.
- Associate’s degree or higher preferred.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook.
- Highly organized with excellent multitasking abilities.
- Strong written and verbal communication skills.
- Professional, dependable, and courteous demeanor.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Salary& Benefits:
- Salary: $55,000–$70,000
- Benefits: Medical, Dental, 401K, Life Insurance
